Billing & Practice Policies
BILLING & PRACTICE POLICIES
Anchoring Services provides psychotherapy, life coaching, and professional development services in both telehealth and in-person formats. Services are available for individuals, couples, families, and groups.
Appointments & Cancellations

Appointments are generally scheduled for 53 minutes. If you would like a different session length, this must be arranged with your provider in advance.

If you are late for a session, you may lose time from your appointment.

Please provide at least 24 hours’ notice if you need to cancel or reschedule.

If you do not attend a scheduled appointment or cancel with less than 24 hours’ notice, you will be charged the full private pay session rate of $165, as that time is reserved exclusively for you. Insurance does not cover missed or late cancelled appointment fees.

Excessive missed or late-cancelled sessions may result in discontinuation of services and dismissal from the practice.
Billing & Payments

Insurance Claims: As a courtesy, Anchoring Services will submit claims to your insurance provider. If you choose to submit your own claims, full payment is due at the time of service.

Insurance Information: You are responsible for providing accurate, active insurance information. Failure to do so may result in being billed directly for services.

Copays, Deductibles, and Coinsurance: Copayments are due at the time of service. Deductibles and coinsurance will be billed to your card on file after your insurance claim is closed. You are responsible for any portion of services not covered by insurance.

Assignment of Benefits: By signing this agreement, you authorize Anchoring Services to apply insurance payments directly to your account.

Non-Covered Services: Charges for court appearances, case reviews, report writing, letters, extended phone consultations, and other services not covered by insurance are your responsibility. Rates vary by service and time.

Payment Methods Accepted: Anchoring Services accepts all major credit/debit cards, HSA/FSA cards, and electronic payments via SimplePractice. Checks or cash may be accepted by prior arrangement.

Past-Due Accounts: A service charge of 1.5% per month (18% annually), or the highest statutory amount allowed, will be applied to balances over 28 days past due. If insurance does not pay within 90 days, the balance may become due in full by the patient. Accounts over 90 days may be referred to collections or small claims court, with the responsible party liable for attorney, collection, and court fees.

Refund Policy: Subscription fee payments are non-refundable and need to be cancelled in writing on or before the 15th day of the previous month.
Chargeback Policy
Clients agree not to initiate a chargeback for valid, authorized charges (including services, cancellations, or subscriptions). If a chargeback is filed, Anchoring Services reserves the right to dispute it and provide all documentation validating the charge.

Consequences of Chargebacks:

Services may be suspended until the matter is resolved.

Clients may be financially responsible for the original charge, any reversal fees, and associated collection costs.

Future services may require prepayment or restricted payment methods.
Insurance Coverage

Anchoring Services cannot guarantee insurance coverage or payment. You are responsible for verifying your benefits, coverage limitations, and pre-authorization requirements.

You are financially responsible for all charges, regardless of insurance coverage or denial.
-
Some plans have annual limits for mental health benefits—please check with your insurer.
Communication & Accessibility

Routine calls and messages will be returned within 24 business hours.

Anchoring Services is not a crisis center. If you are in crisis, call 911, 988 (Suicide & Crisis Lifeline), or go to your nearest emergency room.

Electronic communication (email, text) may be used for scheduling or administrative issues, but confidentiality cannot be guaranteed. By consenting to electronic communication, you acknowledge that while we take precautions, absolute

security cannot be guaranteed. Anchoring Services is not liable for charges you incur from your service provider.

The best way to communicate and schedule an appointment is to go through our confidential and secure patient portal (current EHR system is SP) on our website.

By providing your phone number(s) or email, you consent to Anchoring Services contacting you regarding appointments, billing, or care, including by voicemail, text, or email.
Social Media
To protect your confidentiality, Anchoring Services, LLC does not accept “friend” or “contact” requests from clients on social networking sites via individual providers i.e. your assigned clinicians. However, we encourage following the Anchoring Services, LLC social media pages.
Telehealth Services

Telehealth sessions are available when clinically appropriate or needed. You retain the right to withdraw consent at any time.

Confidentiality and access to your records remain protected under the same laws as in-person services.

Benefits of telehealth include convenience and continuity of care. Limitations may include lack of in-person observation and occasional technical issues.

Telehealth services are provided via secure, HIPAA-compliant platforms.
Minors
-
Parents/guardians may be legally entitled to information about a minor’s treatment.

The provider will work with the family to determine what information is shared while also protecting therapeutic confidentiality.
Termination & Involuntary Discharge
Treatment may be ended by mutual agreement, if therapy is no longer clinically indicated, or if payment obligations are not met.

Anchoring Services may also discharge patients in cases of:

Threatening or abusive behavior

Medication misuse
-
Refusal to sign required forms
-
Excessive missed appointments
-
Accounts sent to collections
Financially Responsible Party
-
The parent/guardian who signs this agreement will be considered the financially responsible party.

Court-ordered financial arrangements must be settled between the parties outside of Anchoring Services.
Coordination of Care
By signing, you authorize Anchoring Services to share your behavioral health records with your primary care provider and other Anchoring Services providers, as needed, for care coordination. This consent remains in effect until revoked in writing.
Notice of Privacy Practices
By signing, you acknowledge that you have been provided with Anchoring Services’ HIPAA Notice of Privacy Practices and your Patient Rights.

Sliding Scale Subscription Plan
Anchoring Services offers subscription options for clients without insurance or for whom standard rates are a barrier. Subscription plans now include both individual therapy and couples/family therapy options.

Terms & Conditions:

Initial Diagnostic ($165) billed separately before subscription begins.

Enrollment begins on the 1st of each month; requests must be received by the 15th of the prior month.

Payment is processed automatically on the 1st of each month via SimplePractice.

Sessions are self-scheduled by the client.
-
Missed or unused sessions are non-refundable and do not roll over.

Subscriptions renew automatically each month unless written notice is provided by the 15th.
